Performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organizational policies and practices. Provides direct support to Director of Planning, U.S. Sales as well as, working closely to support the Sales Team and other planning team members. Essential Duties, Responsibilities, and Key Results Area: * Prepares records such as agendas, notices, meeting minutes and project tracking. Acts as a partner to drive the efficiency of the Director of Planning, U.S. Sales. * Maintain follow-up system on projects and reports requiring action. * Total event planning for planning team, including key meetings, location identification, contract negotiation, meeting setup, and facilitation to ensure successful meetings. * Support the U.S. sales team in event planning, including location identification, rooming lists and day of meeting support. * Performs a wide variety of complex, non-routine assignments, including requesting and distributing information to/from others inside or outside the organization, checking documents for accuracy and completeness, devising and maintaining filing and record keeping systems, and compiling a wide variety of standard and/or special reports. * Types and/or prepares a wide variety of reports, letters, and other documents quickly and ensures total accuracy and compliance. Determines or devises proper formats. * Compiles data from varied sources and make summary reports as required. Will involve mathematical calculations using Microsoft Excel, presentations via Microsoft PowerPoint, and general report queries in specialized proprietary systems. Must be technologically proficient in a variety of applications. * Provides database administration for interoffice and sales representatives. * Performs other related duties as assigned. * Some overnight travel will be required. * The position requires strong administrative experience and skills acquired either as an Administrative Assistant, or via directly related work experience. Administrative experience at a senior level is preferred. * Associate degree (A. A.) or equivalent from two-year college or technical school; or five years' experience and/or training. Bachelor's degree from a four-year college or university is preferred. * Advanced skill level using Microsoft Office products, particularly Excel, PowerPoint, Word, Outlook.
