Position Description

Concordia University Wisconsin School of Health Professions invites applications for a full time staff position within the Physician Assistant program. This position reports to the Program Director.

Job Duties & Responsibilities

  • Serve as the first contact with students, internal and external contacts, as well as the public visiting the School of Health Professions
  • Provide administrative support to the Program Director and maintain effective and regular communication with Program Director
  • Perform general office responsibilities including telephone, email, correspondence, filing, mail processing and room reservations
  • Coordinate projects, schedules and meetings, attend meetings and prepare timely minutes and reports
  • Create and send Qualtrics surveys to students as directed by faculty or director
  • Compile data and student records and enter into databases such as Excel and Access
  • Assist with compiling accreditation documents or any other documents required by stakeholders
  • Purchase office supplies/equipment and create requisitions as needed or requested.
  • Maintain departmental budgets including annual budget reports with the Program Director
  • Communicate with students and direct students to appropriate resources/departments
  • Assist the director in planning and coordinating events, including visit days, workshops, White Coat, graduations and other student events
  • Assist multiple Faculty with daily workflows and projects
  • Assist students with questions and forms
  • Maintain student, faculty and alumni online files as well as database for guest lecturers and adjunct instructors
  • Develop, edit, and send communications, mass mailings, web postings, etc.
  • Direct work tasks of student worker(s)
  • Prepare and maintain an annual calendar in Outlook with recurring deadlines and willing to learn other computer systems
  • Other related duties as assigned

Knowledge, Skills, & Abilities

  • Knowledge and skill in the use of a computer and all functions of Microsoft Office
  • Requires an excellent command of language, punctuation, grammar and writing skills
  • Able to prioritize and juggle multiple priorities and tasks
  • Able to deal with interruptions and work in a fast paced office environment
  • Excellent organizational abilities.
  • Available some evenings and weekends, as needed.

Education & Experience

A high school diploma or G.E.D. is required along with two to three years of office experience.
