As our Office Coordinator, you will... Be Accountable and Responsible for Administrative * Host the reception area and front of the house * Warmly greet and direct all incoming guests and vendors * Answer and screen incoming calls, field routine questions and appropriately distribute all mail and deliveries * Manage the day-to-day operations of the office including responding to all emails and requests in a professional, timely manner * Handle filing, copying, scanning, sending packages and other tasks as needed * Support the Office Lead on agency initiatives and local events * Have an awareness of events and opportunities in the local community. Knowledge of KC Business Journal, KC Ad Club, etc. * Manage the rotating art gallery in the office with new artwork evaluated and brought in on a quarterly basis * Provide meeting support for client meetings and internal meetings. This includes reserving conference rooms, ordering and setting up catering and after meeting clean up * Expense reconciliation using WebVantage and Concur. Provide expense reporting support for senior leadership * Provide travel support including booking flights, hotels and car rentals while ensuring compliance with MERGE's travel policies. Secure hotel room blocks for team meetings as needed * Mail swag items to new hires on a weekly basis * Manage and distribute GrubHub and UberEats vouchers * Organize holiday parties, monthly happy hours, town hall meetings and team lunches * Be an active member of the local MLife cultural club and create an environment that fosters a happy and friendly work environment * Manage office perks with HR and MERGE MLife team to extend to employees such as International Women's Day, Pride, Cinco de Mayo, etc. * Be the cultural unicorn that holds us together by communicating updates on upcoming team events and meetings via email, Slack and G-Chat. Manage the team events calendar Facilities * Key company contact with building management to handle all issues relating to office maintenance and repairs * Order office supplies and pantry supplies as needed in accordance with company purchasing policies and budgetary restrictions * Activate keycards for employees in Kastle. Provide remote access if necessary * Assist IT with internal office moves * Maintain appearance of the front of the house, conference rooms, common areas and kitchen * Handle office tours and introductions for new hires along with workspace set up These are the qualifications we're looking for * Bachelor's Degree or equivalent work history * 4+ years of experience as an Office Coordinator or Administrative Assistant in a fast-paced environment.
