Housing Assistance Clerk VineBrook Homes is an internally managed Midwest/Heartland-based real estate investment company, focused on acquiring, renovating, leasing and operating single-family homes as rental properties. An early investor and developer of the Single-Family Rental home (SFR) asset class, we commenced operations in late 2007. Our proven, yield-focused investment strategy targets a unique opportunity building a portfolio of "Optimal House" assets in key Midwest markets. We own or manage over 16,000+ Single Family Rental Homes throughout the Midwest. Additionally, VineBrook Homes is currently undergoing the next major expansion of its strategy, expecting to drive toward 25,000+ Homes. Job Description Summary The Housing Assistance Clerk is responsible for the receipt and accounting of funds received by the organization for residents on housing assistance programs such as section 8. This role ensures proper accounting procedures are followed to account for the receipt of rent payments and other billable accounts. This role will maintain and reconcile resident ledgers with responsibilities of collection for section 8 delinquency. This position is a primary contact for Section 8 Housing Authorities and residents within the program and must provide professional caliber customer service to our residents. The Housing Assistance Clerk will be a liaison between Section 8 authorities and property managements. Essential Duties and Responsibilities * Receive and post all Section 8 payments to accounts receivable ledgers accurately and in a timely manner. * Post all receipt batches, and all non-tenant payments received according to company policy. * Process Section 8 renewals and Notice to Leave paperwork. * Follow up on any section 8 escrows to ensure timely resolutions. * Ensure Section 8 receives copies of all resident notices. * Responsible for Change of Ownership paperwork for timely set up with Section 8. * Maintain accuracy with posting payments according to company policy. * Make deposits to bank as necessary. * Research and resolve ledger discrepancies. * Make adjustments to ledgers as needed. * Process returned payments from bank. * Correspond with residents in regards to payment discrepancies. * Assist with Occupied Acquisitions onboarding of Section 8 authority and resident leases. * Assist with incoming/outbound calls. * Prepare documentation required by collection attorney and 3rd party collection partners. * Provide residents with online payment information and process. * Cross train on other tasks as needed to provide backup assistance with the HOA and other Property Operations department. * Perform general office duties such as filing, answering phones and emails and routine correspondence. * Other job duties as assigned. Minimum Qualifications * Professional customer service skills. * Must poses exceptional organizational skills. * Operate 10-key calculator, computers, and copy machines to perform calculations and produce documents Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
