Job Description
The VelociGene department is looking for a motivated, self-starter to provide administrative support to a team of 100+ individuals including directors, managers, supervisors, and research staff. In this role, a typical day may include: * Provides general administrative support to direct supervisor and various levels of management and staff within the VelociGene department and specialty lab. * Maintains department and managerial staff calendars; including meeting invitations and all associated logistics (agenda items, invite and attendee lists, catering, etc.) while utilizing a basic understanding of department priorities and applying that knowledge to actively resolve conflicts. * Helps plan, coordinate, and execute departmental Lab Tours, events, celebrations, and meetings, including all necessary logistics. * Coordinate and schedule guest speakers/visitors as requested, including travel, and meeting coordination. * Assist department employees with travel arrangements, conference registration, and expense reporting. * Reconcile monthly departmental Purchasing card and Travel & Expense card expenses in accordance with the budget (Orders, stocks, distributes, and takes inventory of office supplies as well as other specialty supplies as requested). * Work with direct supervisor on space planning efforts for the entire department. Including new hire assignments, desk relocations, and initiating/tracking new construction projects for new office to help with company growth. * Serve as a key resource to provide information and answer inquiries regarding department operations and company policies and procedures. * Process forms, enters data, maintain records, and generate reports as required. * Maintain department SharePoint site including archives of documents and maintaining user access to confidential materials. Organize, create, maintain, and upload documents. * Contributes to the development of new concepts, techniques, standards, and operational process improvements. * Build and maintain positive, professional relationships with all levels of department staff, employees, and external partners to ensure positive experience, facilitate communication, and successful task completion. This may be the role for you if: * Are extremely organized, detail-oriented, with the ability to learn quickly * Are a collaborative team player with excellent oral and written communication skills * Possess high-level time management skills To be considered for this role you must have a minimum of 2 -4 years of relevant administrative experience in a fast-paced environment. We need someone with advanced expertise in Word, Excel, PowerPoint, Outlook, and SharePoint experience, and have a strong ability to manage calendaring function. You should be able to perform simple analysis and interpretation of data and information to synthesize into PowerPoint, Excel or word documents. We need someone with excellent organizational skills with demonstrated attention to detail. Ability to learn new technologies and systems quickly and easily.
